Before import, identify why each contact exists
A receipt address, a coaching enquiry and a newsletter subscriber can represent different relationships. Record the source and purpose of the list before moving it. Keep unsubscribe and suppression information alongside the permitted audience. The fact that an address exists in an old export is not enough to determine which messages should be sent. Do this review inside your protected records, not in a public spreadsheet.
Prepare the useful fields and exclusions
Choose the smallest set of fields needed for the intended communication. Remove irrelevant notes, sensitive details and duplicates from the working import. Preserve meaningful segments where the destination supports them, but do not assume tags, automations or campaign history will transfer automatically. Match the audience to a complete email budget
Use the current plan’s included subscriber allowance and the quoted cost of your actual audience. Separate product delivery messages from optional marketing campaigns in your operating plan. Verify before any campaign is sent
Check the imported fields, exclusions and audience selection using supported previews and a small permitted internal test. Do not blast the full list merely to prove that an import worked. Explain the new sender identity clearly where appropriate and retain a working unsubscribe route. Consent requirements vary by circumstances; this guide is an operational checklist, not a claim that any particular mailing is legally permitted. Retain the date and source of permission where your existing records support it.
